Role Description

The Bids Coordinator is responsible for bid coordination and management across the Asia Pacific region. This role involves bid preparation, developing strategic content, and ensuring that submissions are of the highest quality and aligned with company goals and client expectations. This is a demanding and rewarding role which is fundamental to the achievement of Airswift’s growth targets. 

Principal Accountabilities:
  • Assemble the bid team and relevant stakeholders.
  • Prepare bid tools for managing the bid collation/submission process.
  • Lay out bid details such as response times and responsibilities and ensure that these are communicated understood and delivered on time to the highest quality.
  • Ensure deadlines, both internal and external, are met and tenders are consistently submitted ahead of deadlines and within any KPIs.
  • Produce a post-bid review and communicate as appropriate.
  • Technical: Preparing high-value and complex bids, and coordinating bid activities.
  • Strategic Content Development: Create and refine bid content to ensure it effectively communicates our value proposition and meets client requirements.
  • Completing Vendor Registrations independently.
  • Client Engagement: Engage with clients and internal stakeholders to understand their needs and incorporate feedback into bid submissions.
  • Bid Quality Management: Ensure all bid documents meet the highest standards of quality, accuracy, and compliance.
  • Process Optimization: Identifying initiatives to improve bid processes and promote best practices to enhance bid effectiveness.
  • Stakeholder Communication: Maintain effective communication with senior management and other key stakeholders regarding bid status and outcomes.
Skills, Knowledge, and Experience:
  • Experience: minimum 2 years in a bid/proposal role.
  • Persistence and resilience. This role deals with multiple stakeholders across different locations and time zones and requires the ability to work to multiple deadlines.
  • Excellent time management of self and others to ensure deadlines are consistently met ahead of time.
  • Advanced written and verbal communication skills. Proficiency in Bid management tools and Microsoft Office. Experience in portal management.
  • Understanding of the energy, process, and infrastructure sectors.
  • Ability to assemble teams of various stakeholders and hold these to account.
  • Interpreting requirements and creating material.
  • Demonstrating initiative and driving improvements in compliance processes.
  • Fostering collaboration across sales teams regionally and globally. 
  • Effective communication skills in explaining service offerings and pricing models.
  • High attention to detail, and strong communication skills.
