Role Description

The Strategic Operations Manager position will be responsible for providing full administrative, data/reporting, presentations and broad activities of a highly responsible and confidential nature for the Chief Executive Officer, Chief Operating Officer, Chief Financial Officer and members of the operating board. Responsibilities will include coordinating and maintaining all day day-to-day operational functions.

Principle Accountabilities:
  • Drives the efficiency of executive operations by providing critical support.
  • Leads coordination of diverse, high-impact activities which involve significant interaction with the Board of Directors, senior executives (both internally and externally) and their support staff.
  • Anticipates the needs of the executives and based on knowledge of the executive’s mode of operation and individual preferences, coordinates, researches, delegates, compiles, and organizes any work necessary to meet those needs.
  • Reviews, delegates and distributes incoming work in the absence of the executives.
  • Manages the time of the executives independently and with significant discretion, refers calls and questions to other areas, and organizes to make the most effective use of the executives’ time.
  • Prepares the weekly activity reports with commentary and data integrity checks that go out to the leadership team and the board of directors. Analyzes these reports and seeks out solutions to any issues.
  • Expert in Canva and PowerPoint to create storyboards and presentations for CEO and CFO to the board, internal meetings and external client facing meetings or keynote presentations at conferences.
  • Has a high ability to research topics and incorporate that research into presentations.
  • Prepares correspondence, documents, presentations, and other reports to include tracking and reconciling expense reports.
  • Assists in the preparation and maintenance of the annual budget, as requested.
  • Plans all logistics for High Flyer events, leadership meetings and ad hoc meetings including locations, budgets, activities and presentations.
  • Provides administrative support including managing travel, conference reservations and event planning, calendar management, and arranging business meetings and communication with vendors, business associates, and customers.
  • Exercises considerable judgment and discretion in the performance of their duties.
  • Requires a high degree of professionalism, knowledge of the company, verbal and written communication skills, and interpersonal skills.
Skills, Knowledge, and Experience:
  • Minimum of four (4) years of administrative work experience, including one (1) year as an executive/officer level assistant. Demonstrated executive level administrative experience.
  • College degree preferred.
  • Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner.
  • Utilizes Microsoft Outlook, Word, Excel, Canva and PowerPoint at a high level of proficiency. Prepares and revises documents for use by executive management. Experience with presentation preparation is required.
  • Demonstrated ability to prepare correspondence using excellent grammar, spelling, punctuation and proofreading skills.
  • Demonstrated ability to create and manage materials at the Board level.
  • Demonstrated ability to recognize and work with confidential information in a professional manner, including such areas as Human Resources matters and material company and financial matters.
  • Demonstrated ability to prioritize, organize and coordinate work effectively.
  • Requires flexibility to adjust work hours to support and accommodate executives, as needed.
  • Ability to collaborate and work with executives’ broader team.
  • Demonstrated ability to work independently with minimal supervision and manage multiple tasks using efficient time management skills.
  • Ability to network and use a variety of resources internal and external to the company to get things done in a timely and cost-effective way.
  • Maintains and demonstrates current knowledge of Airswift enterprise organization and business operations.
  • Excellent prioritizing skills and the ability to handle multiple tasks in a fast-paced environment in a multi-faceted environment.
  • Ability to professionally deal with unexpected demands and incidents.
  • Self-motivated and able to perform with minimal guidance or supervision.
Abilities:
  • Ability to handle multiple tasks concurrently.   
  • Ability to meet the highest attendance requirements.
  • Ability to use personal computer, calculator, Word, Excel, PowerPoint, etc.
  • Ability to work in a time-sensitive environment with non-flexible deadlines.
  • All candidates must have the ability to speak, read and write English.
